Travel and Logistics

Dates

The EarthCube Education End User Workshop will start at 9:00 AM Monday, March 4th (Breakfast at 8:30 AM), and conclude at 3:00 PM on Tuesday, March 5th, 2013. For reimbursement purposes, we will cover your transportation costs to and from San Diego and your lodging and other expenses from Sunday, March 3rd (arrival date) through Wednesday, March 6th (departure date). See below for reimbursement information.

The Robert Paine Scripps Forum (aka Scripps Seaside Forum) is located at the southwestern-most end of the Scripps Institution of Oceanography campus facing the Pacific Ocean.

Hotel

The Hotel La Jolla is within walking distance to Scripps Institution of Oceanography (20 minutes along the ocean), but we will have shuttle service available for those who prefer.

Overnight Parking $28

Shuttle service from the hotel to Scripps will be provided starting at 8:00 am Monday morning and 7:30 am on Tuesday. Please wait for the shuttle in front of the hotel. To walk from the hotel to Scripps along the ocean (approximately 1 mile), go north (right out of the hotel) on La Jolla Shores Drive to Avenida de La Playa and turn left (west). If you wish to walk on the beach, continue to the end of Avenida de la Playa (ends at the beach). If you wish to walk on pavement, make a right (north) on Camino del Oro. For who walk on the beach, the tides will be low in the morning on both Monday and Tuesday and high (low high) but still passable in the afternoon.

Air travel

The closest airport is San Diego International Airport/Lindbergh Field (SAN) which is 12 miles from La Jolla. Please reserve your flights as soon as possible in order to get the lowest coach fares. Your flights will be reimbursed by UCSD, as will other travel expenses, (see details below).

Ground Transportation

To get to the hotel from the airport, take a taxi to the above address. Note that the grant will not reimburse the cost of rental cars for this workshop.

If You Are Driving

Parking passes are available for those who are driving to Scripps. Please use parking lot P002 or P003. We will distribute parking passes to those who need them the morning of the meeting (see Cheryl or Delia).

Reimbursement

Original receipts are required for airline, hotel, meals, and incidentals. Personal auto mileage is reimbursed at $0.565 per mile. The maximum reimbursement for meals and incidentals is $71 per (travel) day; breakfast and lunch are provided on the 4th and 5th and an optional group dinner is being arranged for the evening of the 4th. Instructions for obtaining your reimbursement will be provided in the meeting materials. We will need your social security number and current address to process your reimbursement.
